How ASAS Excellence College handles information about website visitors, enquirers and learners, and how to exercise your privacy rights.

1. Who is responsible for your information

ASAS EXCELLENCE COLLEGE LTD, company number 17318908, incorporated in England and Wales on 3 July 2026, is responsible for the personal information it collects for its own educational and website services. Our ICO registration reference is ZC201534. Contact info@asas-college.com about this notice or any data protection matter.

This notice covers the public college website and communications with the college. Where you enrol, the relevant programme and student portal information explains any additional use of learning, assessment or certificate records. Another ASAS business or an external provider may have its own privacy notice when you use its services.

2. Information collected and where it comes from

The contact form collects your name, email address, chosen topic, message and language. Telephone number, country and programme interest are optional. We also receive the connection IP address, browser information and submission time, and keep the enquiry in our enquiry system. Enquiries may be routed to the college email inbox so staff can respond.

Web requests disclose technical information needed to deliver and protect the service. Reading an article increases its view count; this counter does not create an individual reading history. A language preference cookie is described in our Cookie Policy.

If you become a learner, relevant records may include account and contact details, enrolments, learning progress, submissions, assessment results, communications and certificate information. The learning platform may record assessment session and security events. We explain any additional information requested when it is collected.

3. Why information is used

We use information only for a defined purpose with an applicable lawful basis:

  • Enrolment enquiries and delivery of agreed learning services: taking steps at your request before a contract, or performing that contract.
  • General enquiries, complaint handling, service administration and proportionate security measures: our legitimate interests in responding to people, administering education and protecting the service, balanced against their rights.
  • Records required by applicable tax, accounting, regulatory or other legal duties: compliance with those legal obligations.
  • Any optional activity that depends on consent: the specific permission requested at that time. We do not treat a contact enquiry as consent to marketing.

4. Choice, sensitive information and decisions

The required enquiry fields allow us to understand and answer your message. You can instead email us, but we will still need enough information to reply. Please do not include passwords, payment card details, identity documents or health information in a general enquiry. If an adjustment or a programme requires sensitive information, ask for an appropriate submission route and an explanation of its use first.

The public enquiry form does not make admission decisions. Technical spam and security checks may limit submissions; contact us by email if a genuine enquiry cannot be submitted. You can ask for a staff review of a decision affecting your application or studies.

5. Who may receive information

Access is limited to staff handling the relevant enquiry or service and to service providers needed to operate hosting, email, IT support and the learning platform. Where necessary, information may also be disclosed to professional advisers or authorities with a lawful basis. A programme involving another training or certification provider must identify that provider and explain the necessary sharing before the relevant activity.

A referral to Asas Excellence or another ASAS service does not automatically authorise sharing your full student record or adding you to a marketing list. Ask us for the recipients relevant to your enquiry or programme. Any transfer outside the UK must have an applicable lawful transfer basis, such as adequacy regulations or appropriate contractual safeguards. 6. How retention is determined

Retention depends on the purpose of the record: resolving and following up an enquiry; administering an active course and any review; verifying a qualification or certificate; meeting an applicable accounting or legal requirement; or handling a specific dispute. We restrict continued use where a record must be retained for a legal reason.

Information should be deleted or anonymised when its purpose and any applicable retention requirement have ended. We do not assign one retention period to all records. You can ask for the period or decision criteria applying to a particular record.

7. Your rights, including the right to object

Depending on the circumstances, you can request access to your information, correction, erasure, restriction of use or a portable copy. You can withdraw consent for consent-based processing without affecting earlier lawful processing.

You have the right to object to processing based on legitimate interests on grounds relating to your situation, and to direct marketing at any time. Email info@asas-college.com, describing the request and the service involved. We may ask for proportionate identity verification and respond within the applicable statutory period, ordinarily one month. Any lawful extension or refusal will be explained.

8. Concerns and changes

You may raise a privacy concern with the college and complain to the Information Commissioner’s Office (ICO). This does not prevent you exercising any other applicable legal rights. Changes to this notice will carry a new review date; a materially different use of your information requires an appropriate notice and lawful basis.
